Real estate photography booking software: what it should do, and who does it
Real estate photography booking software lets an agent book a shoot against the photographer’s real availability, with drive time between jobs counted, the access notes attached and the time held until the studio confirms, so nobody trades six texts to land one slot.
FotoPal, Ubookr, HDPhotoHub, Aryeo and Spiro all take bookings; they differ on whether drive time is calculated, whether the calendar syncs, whether the same booking becomes the invoice and the gallery, and what the booking costs you.
Facts checked against each vendor’s own site (sources below). FotoPal’s column is read from its price list and facts page.

Who should pick which
Pick a booking-only tool if
- You edit and deliver elsewhere and want nothing more than a calendar agents can book: Ubookr is built for exactly that, with Xero.
- You order through forms and pay per job or per delivery: Spiro and HDPhotoHub.
Pick FotoPal if
- You want the booking to carry drive time with traffic, your service area and two working days’ notice, and anything outside those rules to arrive as a request, not a refusal.
- You want the same booking to become the dispatch board entry, the field day on the phone, the invoice in Xero and the gallery.
- You want a free plan to start, agent self-booking from Studio, and an AI phone line that takes bookings on Studio Pro Plus.
Questions
Asked before choosing
How does agent self-booking work in FotoPal?
Agents and their assistants open the studio’s booking link, choose the property, services and add-ons their agency has agreed, and see the times that are actually free, with drive time between jobs and your service area applied. Two working days’ notice confirms automatically; anything inside that, outside the area or unusual comes to you as a request. Available on Studio and above.
Which booking tools calculate drive time?
FotoPal applies drive time with traffic between jobs when an agent books and shows it on the dispatch board and route map; HDPhotoHub says its Smart Scheduling weighs drive times, shoot durations and traffic patterns. Ubookr publishes one-touch navigation to the next appointment but not drive-time calculation; Aryeo and Spiro do not publish drive-time scheduling.
Can agents book without an account or an app?
In FotoPal the booking link opens in any browser once the studio has invited the agency, and no account is needed to open a gallery. The FotoPal Agent app for iPhone and iPad is coming to the App Store. Ubookr offers an iOS and Android app and embeddable forms; HDPhotoHub offers a white-label client app; Aryeo offers an agent login portal.
What does booking software cost?
FotoPal’s agent self-booking is in the Studio plan at A$79 a month including GST (NZ$89 with no GST charged, or US$55 before tax), with no fee per booking. Ubookr charges 1.5% of the booking fee plus $1.50 per property listing; Spiro $5 per completed job; HDPhotoHub a fee per delivery; Aryeo from $49 a month on Pro, with scheduling on that tier. Currencies other than FotoPal’s are not published.
