FotoPal Schools · For school photographers

School photography software, from the class list to the parent’s order.

FotoPal Schools is software for photography studios that photograph schools. It imports the school’s class lists, gives each family a private access code, runs photo day check-in and capture, and sells class and individual photos to parents online. School offices get their own portal, and class teachers see only their own class.

Not on sale yet. FotoPal Schools runs on the FotoPal Sports platform and is being prepared for its first studios.

What FotoPal Schools does

  • Class lists in, sensitive details out

Import the school’s student list from a spreadsheet export. Columns the studio does not need, such as dates of birth, medical notes and religion, are removed in the browser before anything is uploaded.

    • Year levels for each state, and composite classes
    • Siblings linked only on strong evidence, never by surname alone
    • Students with a custody or access alert always need office approval
    • Dates of birth are not stored for schools
  • A private code for every family

Each student gets a 12-character access code, printed on an A4 flyer or proof card with first name, last initial and class so it can be handed out. Up to four parents can link with one code; beyond that, the office approves.

  • Photo day, the same way as sports

Students check in on an iPad and are photographed at a station with FotoPal Capture, online or offline. A student who is not on the school list can be added on the day and is flagged for the office.

  • Class photos, composites and ID cards

Class photos carry their name captions, and staff and whole-school composites come from the same template builder. ID card photos export as a spreadsheet and image set in four standard sizes.

    • 600 × 800 px
    • 35 × 45 mm
    • 25 × 32 mm
    • 1200 × 1600 px
  • Ordering parents understand

Parents view their child’s photos in the studio’s branded gallery and order online, including prepaid sibling packages before photo day. The studio is the merchant and is paid directly.

  • A portal for the school office

The office sees its school’s classes, photo day changes and approvals. A class teacher’s access is limited to their own class.

02How it works

How FotoPal Schools works

  1. 01

    Import the class lists

The school sends its student export; the studio imports it, and sensitive columns are dropped before upload.

  2. 02

    Hand out access codes

Print flyers or proof cards with each student’s private code, and let families link and prepay.

  3. 03

    Run photo day

Classes check in on an iPad, students are photographed at stations, and class photos are taken with their captions.

  4. 04

    Parents order

Families open the studio’s gallery with their code, choose photos and products, and pay the studio.

  5. 05

    Deliver to the school

Prints are packed by class for hand-out, and the office receives its ID card photo export.

04Questions

Questions about FotoPal Schools

Plain answers to what studios ask us first. Something else? Email support@fotopal.ai.

Is FotoPal Schools a separate product from FotoPal Sports?

It is the same platform with a schools setup. A school becomes an organisation, year levels become divisions and classes become teams, so capture, check-in, galleries, templates and the lab work the same way. School offices and teachers see school language, and a studio that shoots both clubs and schools manages them in one console.

What do we need from the school?

A student list exported from the school’s administration system as a spreadsheet, with names, year levels and classes. The studio imports it and maps the columns. Anything the studio does not need, such as dates of birth or medical notes, is removed in the browser before the file is uploaded.

Can a class teacher see other classes?

No. A class teacher’s access is limited to their own class. The school office sees the whole school, approves extra parent links and custody-alert students, and reviews photo day changes. Each role only sees what it needs, and the studio controls who has access.

How do parents find their child’s photos?

Each student has a private 12-character access code, handed out on a flyer or proof card. A parent enters the code in the studio’s gallery to link to their child. Up to four parents can link with one code; any more, and students with a custody or access alert, need the office’s approval first.

Does FotoPal Schools store students’ dates of birth?

No. Dates of birth are not stored for schools, and other sensitive columns in a school’s export, such as medical or religious details, are removed in the browser before upload. Gallery previews are watermarked, galleries are private, and students never have logins of their own.

Can the school get photos for student ID cards?

Yes. FotoPal Schools exports ID card photos as a spreadsheet with a matching set of images, in four preset sizes: 600 × 800 pixels, 35 × 45 mm, 25 × 32 mm and 1200 × 1600 pixels. The studio chooses the size each school needs.

How much does FotoPal Schools cost?

Pricing for FotoPal Schools has not been published yet; like FotoPal Sports, it is agreed with each studio. Studios moving from another platform are offered an introductory package to make switching easy. Register interest and we will talk through your schools and how it would work for you.
